Who is responsible for the data
This platform is used by schools to manage their own records. For the data a school enters, the school is the data controller and decides what is collected and why. The platform is the data processor: it stores and processes that data on the school's behalf and on the school's instructions.
Requests about a student's records should go to the school first. The platform team handles requests about the platform itself.
What is stored
- Account details for staff, parents and students: name, email address, role and password (stored only as a secure hash).
- Student records: name, admission number, date of birth, gender, contact details and class.
- Enrollment history, attendance records, assessment scores and report cards.
- A log of the notifications that have been emailed, and the address each was sent to.
- Any school logo uploaded for display in the interface and on report cards.
- Support messages sent through the contact form.
Why it is stored
The data is used only to run the school's own administration: teaching, attendance, assessment, reporting and communication with families. It is not sold, and it is not used for advertising.
Who can see it
Each school's data is kept separate. Every read is scoped to the school the signed-in account belongs to, enforced at the database query layer, so one school cannot see another school's records. Within a school, access follows the account's role: management sees the whole school, teachers see the classes they teach, and parents and students see only the students linked to them.
How long it is kept
Records are kept for as long as the school needs them. When a school leaves the platform, its data is removed. Accounts can be suspended or removed at any time; a removed account keeps its history so past records stay complete, and can be restored if the person returns.
Your rights
You can ask to see, correct or delete the personal data held about you, and you can object to how it is used. Email notifications can be changed by the school. For anything about a student's records, contact the school; for anything about the platform, contact support.
Cookies
The platform uses a small number of essential cookies only: one to keep you signed in, one to protect forms against cross-site request forgery, and one for short-lived status messages. No advertising or tracking cookies are used.

This policy may be updated as the platform changes. The date at the top shows the most recent revision.
